The short version
This site exists to explain what we install and to let you send us a project request. The request form is the only place we ask you for anything. We do not run advertising. We use Google Analytics to see which pages are visited and how the site is used. That service sets its own cookies, described below. Separately, we measure how far visitors get through the request form, on our own server, without sending what you type to Google, and not at all if your browser asks us not to.
| What | Why we have it | Who else can see it | How long we keep it |
|---|---|---|---|
| Contact details | To reply to your project request and arrange a site review. | Our staff, plus the email provider that delivers the request to us. | Until you ask us to delete it, or until it is no longer needed. |
| Project details | To understand the scope well enough to quote and plan the work. | Our staff, plus the email provider that delivers the request to us. | Until you ask us to delete it, or until it is no longer needed. |
| Files you attach | To read the plans, drawings, or photographs you choose to send. | Our staff only. They are never published or linked publicly. | Deleted with the request they belong to, on the same terms. |
| Request form progress | To see which step of the form visitors stop at, so we can make it clearer. Records the step reached and the names of any fields that failed a check, never what you typed. | Our staff only. Nothing is sent to an outside service. | Ninety days, then deleted. Not recorded at all if your browser sends Do Not Track or Global Privacy Control. |
| Site preferences | To keep the form safe from cross site request forgery. | Nobody. They stay in your browser and on our server. | Expires when you close the browser, or after a period of inactivity. |
| Site usage | To see which pages are visited and how the site is used, so we can improve it. | Our staff, through Google Analytics. Google receives the page, the browser, and a cookie that recognizes a return visit. It does not receive what you type into a form. | Google keeps the cookie for up to two years unless you clear it. We do not keep a separate copy. |
| Technical logs | To keep the site running, to fix errors, and to limit abuse of the form. | Our staff and our hosting provider. | A short period, then overwritten in the ordinary course. |
What we never do
- We do not sell your information, and we do not share it for anyone else’s advertising. We never have.
- We do not set advertising cookies, and we do not use Google Analytics to show you ads.
- We do not buy information about you from data brokers.
- We do not ask for payment card details, government identification, or any health information anywhere on this site.
- We do not use your request to train artificial intelligence models. The AI disclosure explains where AI is and is not used.
What we collect
What you type into the request form
The form asks for the services you are interested in, whether you want 24/7 monitoring, whether you would rather start with a consultation, the property type, and, if you know them, the approximate square footage and the number of drops or devices. It asks for your timeline and budget range, any notes you want to add, and then your name, email address, phone number, an optional company name, and how you would prefer to be contacted.
Only the service selection, the property type, the timeline and budget bands, and your contact details are required. Everything else is optional, and a request with the optional fields left empty reaches us exactly the same way.
Files you choose to attach
You may attach up to ten files of 20 MB each: site plans, floor plans, drawings, or photographs. Please send only what is needed to understand the job, and please do not attach documents that hold other people’s personal information. Uploads are stored on a private disk. They are not published on the site and cannot be reached by a public link.
What your browser sends
Like any website, ours receives your IP address, the browser and operating system you are using, the page you asked for, and the time you asked for it. We use this to keep the site running, to investigate errors, and to stop the request form from being flooded. The form is rate limited by IP address for that reason.
Accounts
Accounts on this site exist only for Electrontechs staff who review incoming requests. There is no public sign up and no customer login. Staff accounts hold a name, an email address, and a password, which is stored only as a cryptographic hash and is never readable by us.
Why we have it
We use what you send us in order to:
- reply to your request by the method you asked for, and arrange a site review;
- work out the scope, prepare a written scope of work, and quote it accurately;
- carry out and support work you go on to order from us, including warranty and service visits;
- keep the records that a New York State licensed installer is expected to keep about the work it performs;
- keep the site secure and available, and investigate misuse of the request form.
We do not use your request for marketing to you beyond replying about that request, and we do not add you to a mailing list. If we ever want to do either, we will ask you first.
Who else sees it
A small number of companies help us run the business, and they see only what they need in order to do that. They are not allowed to use your information for their own purposes.
- Our hosting provider, which runs the servers where this site and its database live.
- Our email provider, which delivers your request to our inbox and delivers any reply we send you.
- Google, through Google Analytics, which receives page views on the public site so we can see how it is used. Google’s own privacy policy covers what it does with that. Form answers and uploaded files are not sent to Google.
- Professional advisers, such as an accountant or a lawyer, where they need to see a record in order to advise us.
If you go on to buy 24/7 monitoring, the monitoring itself is delivered through Honeywell and ADT. Setting up a monitored system means giving them the details they need, such as the site address and who to call. That is a separate arrangement, governed by their own agreements and privacy policies rather than by this one, and we will tell you before anything is shared with them.
We will also disclose information if a law, a court order, or a lawful request from a public authority requires it, or where we need to establish or defend a legal claim. If our business is ever sold or merged, the records would transfer with it, and this policy would continue to apply to them until you were told otherwise.
We do not sell personal information, and we do not share it for cross context behavioral advertising, as those terms are used in state privacy laws.
Cookies and browser storage
This site sets what it needs to work, and Google Analytics sets cookies so a return visit can be counted as the same browser. There are no advertising cookies. The request form measurement described above reuses the session cookie below; it does not add one.
- Google Analytics
- On the live site, Google’s tag sets a cookie named _ga and a second cookie tied to this site’s measurement ID. They remember that this browser has been here before, so we can tell a new visit from a return one. They last up to two years. They are not set on our local or test copies of the site. You can block or delete them in your browser; the site keeps working if you do.
- Session cookie
- Keeps your visit connected to the server while you fill in the form. It expires when you close your browser or after a period of inactivity.
- Cross site request forgery token
- A security cookie that proves a form submission came from this site and not from somewhere else.
- Saved progress in the request form
- While you are filling in the multi step form, your answers are held in your browser’s session storage so that moving back and forward does not lose them. They stay on your device, are not sent to us until you press the send button, and are cleared when you submit the form or close the tab.
You can clear all of this at any time through your browser settings. The site keeps working if you do; it will simply forget any unsent answers.
How long we keep it
We keep a project request, and any files attached to it, for as long as we need it to answer you, to carry out work you order, and to support that work afterwards. If a request does not turn into a job, we keep it only while it is still a live enquiry.
Some records connected to licensed security and fire alarm work have to be kept for longer, because our license and the law require it. Where that applies, we keep the record and nothing more.
You can ask us to delete your information at any time, and we will unless one of the reasons above means we have to keep a particular record. See your choices below.
How we protect it
We take reasonable administrative, technical, and physical safeguards to protect the information we hold, as New York’s data security law requires. In practice that means the site is served only over an encrypted HTTPS connection; uploads are written to a private disk that is not part of the public website and can be opened only by a signed in member of staff; staff accounts are individual, password protected, and limited to the people who need them; and passwords are stored as hashes, never as readable text.
No website or company can promise perfect security, and we will not pretend otherwise. If a breach ever affects your private information, we will notify you and the authorities as New York law requires.
Your choices
We offer these to everyone who contacts us, wherever you live, rather than only to residents of states whose laws require them:
- See what we hold. Ask us for a copy of the request you sent and anything we have added to it.
- Correct it. Tell us what is wrong and we will fix it.
- Delete it. Ask us to remove your request and its files. We will, unless we have to keep a specific record for the reasons set out above, and we will tell you if that is the case.
- Stop hearing from us. Ask us not to contact you again, and we will close the enquiry.
Ask by phone or, if an address is listed under how to reach us, in writing. We will ask you a couple of questions to confirm you are the person who sent the request, so that we are not handing your project details to someone else. We do not charge for any of this and we will not treat you differently for asking.
Calls, texts, and email
When you send a request, you are asking us to get in touch about it, and you are telling us how you would prefer that to happen. If you give us a phone number, we may call or text you about your project at that number. Message and data rates from your carrier may apply. We will not send you marketing texts, and we will not pass your number to anyone else to market to you.
Tell us to stop at any time, by saying so on the phone, by replying STOP to a text, or by writing to us, and we will.
Children
This site is meant for people arranging work on a property, so it is not directed to children, and we do not knowingly collect information from anyone under 13. If you believe a child has sent us something, tell us and we will delete it.
Changes to this policy
If we change how the site handles information, we will update this page and change the effective date at the top. Where a change is significant, we will say what changed rather than expecting you to compare versions. Using the site after a change means the updated policy applies to you. Our terms of use cover the rest of the relationship between us.
